Privacy Policy

Last updated: 13 October 2026

TK’s Institution of Occupational Health & Safety Park Proprietary Limited, trading as TK Institution and TK’s Learning Park (“TK Institution”, “we”, “us”), respects your privacy. This notice explains how we handle personal data when you use tkinstitution.com, learn.tkinstitution.com, contact us, enrol in training, submit work, make a payment, or receive learner support.

Information we collect

  • Identity and contact details: name, username, email address, telephone number, organisation and other details you provide.
  • Learning records: course enrolment, participation, attendance, progress, assessments, submissions, grades, feedback, completion and certificates.
  • Transaction and administration records: course selections, invoices, payment status and payment evidence. We do not intentionally collect full payment-card details on our websites.
  • Communications: enquiries, support requests, messages, survey responses and correspondence.
  • Technical and security data: IP address, browser and device information, timestamps, login attempts, cookies, security logs and usage analytics.

Why we use personal data

We use personal data to respond to enquiries; create and secure accounts; provide, assess and improve training; administer enrolment and payments; issue certificates and maintain academic records; communicate service information; prevent fraud and abuse; meet accreditation, accounting, audit and legal obligations; and protect the rights and safety of learners, staff and the public.

We process information where it is necessary to provide a requested service or perform a contract, comply with a legal obligation, pursue legitimate interests such as platform security and service improvement, or where you have given consent. You may withdraw consent for future processing where consent is the basis used.

Who receives personal data

Access is limited to authorised TK Institution personnel and service providers that support hosting, learning systems, email, analytics, security, payment administration and professional services. We may also disclose information to regulators, accreditation bodies, auditors, law-enforcement authorities, sponsoring employers or other parties when authorised by you or required by law. We do not sell personal data.

Our sites may use services such as Google reCAPTCHA and analytics tools to prevent automated abuse and understand site performance. Those providers process technical data under their own privacy terms.

International processing

Some technology providers may process data outside Botswana. Where this occurs, we use appropriate contractual, organisational and technical safeguards and comply with applicable restrictions on transfers of personal data.

Retention

  • Account, support, security and routine platform records are normally kept for up to 2 years after the last account activity or closure.
  • Course, assessment, completion, certificate, payment and compliance records are normally kept for up to 7 years after course completion or the relevant transaction.
  • Enquiries from people who do not enrol are normally kept for up to 24 months after the enquiry is resolved.

We may retain information longer where legislation, accreditation, a dispute, fraud prevention or another documented obligation requires it. When retention expires, data is securely deleted, anonymised or queued for controlled deletion. Backup copies expire through the normal backup cycle.

Your choices and rights

Subject to applicable law, you may ask to access your personal data, correct inaccurate or incomplete data, object to or restrict certain processing, request deletion where there is no overriding retention duty, withdraw consent, or ask for a portable copy where applicable. You may also complain to Botswana’s Information and Data Protection Commission.

We may need to verify your identity before acting on a request. Academic, financial or regulatory records may be retained even when an account is closed where there is a lawful requirement to do so.

Cookies and security

We use necessary cookies for login, preferences, security and learning-platform operation, and may use analytics cookies to understand performance. You can manage optional cookies through available controls or your browser, although blocking necessary cookies may prevent parts of the service from working.

We use access controls, CAPTCHA, rate limiting, encryption in transit, backups and monitoring to protect information. No internet service is completely risk-free, so please use a strong, unique password and keep your login details confidential.

Children and sponsored learners

Our services are intended primarily for adult and workplace learners. If a learner is under the applicable age of independent consent, a parent, guardian or authorised sponsor should contact us before enrolment. Employers or sponsors receive learner information only where authorised, necessary for the training arrangement, or required by law.
